Guide: WhatsApp automation for business

WhatsApp automation for small businesses: what you can do free, what needs the paid version, and when to get help

WhatsApp automation for business sounds like one thing, but it is really two: the free WhatsApp Business app on your phone, and the paid WhatsApp Business API that runs through a software provider. Most small businesses in India should start with the free app. Some outgrow it. This guide explains where the line is, what the paid version really costs, and the rules that keep your number safe.

Dates for the prices below: Meta rates: October 2026; provider plans: 3 November 2026. Check the providers' and Meta's pages before you decide, because they change.

Part 1: What the free WhatsApp Business app can do

The WhatsApp Business app is free from the Play Store or App Store. It runs on one phone number. Out of the box, it gives you:

  • Greeting message. An automatic welcome when someone messages you for the first time, or after a long gap.
  • Away message. An automatic reply outside your business hours, so people know when you will answer.
  • Quick replies. Saved answers you send with a shortcut, such as "/price" or "/location". Fast for questions you get every day.
  • Catalogue. Your products or services with photos and prices, inside WhatsApp.
  • Labels. Tags like "New enquiry", "Paid" or "Follow up" so you can sort chats.
  • Business profile. Your address, hours, website and description.

For a shop that gets a few dozen messages a day, this is often enough. It costs nothing.

Where the free app stops

  • Replies are not really automatic. Greeting and away messages fire once. Anything after that, someone has to type or tap.
  • No real chatbot. It cannot ask "Which service?", wait for the answer, and then show a time slot.
  • No booking flow, no automatic reminders, no review requests after a visit.
  • Limited sharing. A small team can use linked devices, but there is no proper shared inbox with who-answered-what.
  • Broadcasts only reach people who saved your number. And sending lots of unwanted messages gets you reported.
  • No connection to your other tools. Your booking software, website or ads cannot send messages through it.

If you find yourself typing the same five answers fifty times a day, or forgetting to follow up, you have reached the edge of the free app.

Part 2: The paid version, the WhatsApp Business API

The WhatsApp Business API (Meta also calls it the WhatsApp Business Platform) is what lets software reply, book and remind for you. You do not use it directly. You use it through an official provider. Common ones in India include Wati, AiSensy, Interakt and Gupshup. We name them as examples only. We have no partnership with any of them.

With the API, you can:

  • Run a chatbot menu that answers common questions and collects details.
  • Send booking confirmations and reminders automatically.
  • Send a Google review link after each visit.
  • Share one number across a team inbox.
  • Connect WhatsApp to your website, booking system or Click-to-WhatsApp ads.
  • Message customers who opted in, using approved templates.

What you pay: two separate bills

1. The provider's monthly fee (provider plans: 3 November 2026):

ProviderPlans (India)
Wati₹2,699, ₹5,799 or ₹16,799 a month, billed quarterly
AiSensyFree plan ₹0; Basic ₹1,500; Pro ₹3,200; Premium ₹9,100 a month
InteraktPlans billed quarterly; check interakt.shop for current India prices
GupshupWe have not checked its current list price; ask Gupshup directly

2. Meta's charge per delivered message (Meta list rates, October 2026):

Message typeWhat it isMeta's rate
MarketingOffers, new products, festival greetingsabout ₹0.86 per message
UtilityBooking confirmations, reminders, order updatesabout ₹0.115 per message
ServiceYour reply when a customer messages you firstfirst 1,000 per number per month free (from 1 October 2026), then the utility rate

Two things lower this bill:

  • Free 72-hour window after an ad. When someone messages you by clicking a Click-to-WhatsApp ad on Facebook or Instagram, conversations in the next 72 hours are free.
  • Customers who message first. Replying to them is a service message, and the first 1,000 a month are free.

One thing raises it: providers may add a margin on top of Meta's rate. For example, AiSensy lists marketing messages at about ₹1.09 and utility at about ₹0.145. Compare the per-message price, not just the monthly fee.

Part 3: A worked example

Take a small salon in Coimbatore with one WhatsApp number, about 400 customers a month.

  • Customers message first and get replies: about 1,200 service messages a month. The first 1,000 are free; 200 more at ₹0.115 = ₹23.
  • Booking confirmation and reminder for each visit: 400 visits × 2 = 800 utility messages × ₹0.115 = ₹92.
  • One festival offer a month to customers who agreed to receive offers: 300 marketing messages × ₹0.86 = ₹258.

Meta charges come to about ₹373 a month. Add a provider plan, say AiSensy Basic at ₹1,500 a month, and the total is roughly ₹1,900 a month. On a plan with a higher per-message margin the message part would be a little higher.

These are estimates using list prices. Your real bill depends on how many messages you send and which provider you use. The point: for a small business, the messages themselves are usually a few hundred to a few thousand rupees a month. The provider plan is often the bigger part.

Part 4: The rules (and how numbers get banned)

WhatsApp is strict, and the rules protect your number.

Opt-in comes first. You may only send marketing messages to people who agreed to receive them from you. Saving a number from a bill, a visiting card or a bought list is not consent. Ask clearly: a checkbox on your booking form, or "Reply YES for offers".

Business-started messages need templates. If you message a customer first, or more than 24 hours after their last message, you must use a template that Meta has approved. Templates are marked marketing, utility or authentication, and priced that way.

Each business needs its own account. Every business needs its own verified WhatsApp Business account and phone number, verified with its own business documents. You cannot share one account across different businesses.

Why bulk-sender tools get numbers banned. Cheap "bulk WhatsApp" software sends thousands of messages from an ordinary number to people who never asked. Recipients block and report it, WhatsApp's systems spot the pattern, and the number gets restricted or banned. You can lose the number your customers already know. The official API with opt-in and templates is the safe way to send at volume.

Quality matters. If many people block or report your messages, even on the API, Meta can lower your sending limits. Send fewer, more useful messages.

Part 5: Free app or paid API? A quick check

Stay on the free app if:

  • You get fewer than a few dozen messages a day.
  • One or two people handle all chats.
  • You mainly answer questions and do not need reminders or bookings sent automatically.

Move to the API if:

  • You repeat the same answers all day.
  • Missed follow-ups cost you bookings.
  • You want reminders and review requests to go out on their own.
  • You run Click-to-WhatsApp ads and want every reply answered fast.

You can set up the free app yourself in an evening. Setting up the API (account verification, templates, chatbot flows, connecting it to bookings) takes longer and is where most owners get stuck.

When it is worth getting help

If you want the paid version but do not have the time to set it up and keep it running, that is the work we do. We set up WhatsApp for your business on your own verified account and number, build the replies, booking, reminders and review requests, and keep it running. You pay the provider and Meta directly, at their prices. See WhatsApp marketing in Coimbatore.

If the free app is enough for you, use it. That is a good answer too.

Questions people ask

Is WhatsApp Business free, and can I automate replies for free?

The WhatsApp Business app is free, and it sends a greeting, an away message and saved quick replies. Full automation, like a chatbot or automatic reminders, needs the WhatsApp Business API, which is not free: you pay a provider's monthly fee and Meta's per-message charges.

Will my WhatsApp number get banned?

It can, if you send bulk messages to people who did not opt in, or use unofficial bulk-sender tools. Use the official API, get consent and send useful messages.

How much does WhatsApp marketing cost in India?

At Meta list rates (October 2026), Meta charges about ₹0.86 per delivered marketing message and about ₹0.115 per utility message, plus your provider's plan. A small business often pays a few hundred to a few thousand rupees a month in message charges.

Can I use my current number for the API?

Usually yes. Traditionally a number moved to the API could no longer use the app. Some providers now let you use both on one number. Ask your provider.

Do I need a separate account for each business I own?

Yes. Each business needs its own verified WhatsApp Business account and number.

What are message templates?

Pre-written messages Meta approves before you can use them to message a customer first. Booking reminders and offers are sent as templates.
